  • Account Information: Name, email address, job title, facility name, and password when you register for an account.
  • Contact Information: Information you submit through our contact forms or when requesting a demo.
  • Payment Information: Billing details processed securely through our payment processor. We do not store full payment card numbers.
  • Clinical and Operational Data: Information you upload or input into the platform related to denial management, patient records, and appeals (collectively, "Customer Data").

Information Collected Automatically

  • Usage Data: Pages visited, features used, time spent, and actions taken within the Services.
  • Device and Log Data: IP address, browser type, operating system, referring URLs, and access timestamps.
  • Cookies and Tracking Technologies: We use cookies and similar technologies to operate and improve our Services. See Section 7 for details.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Services

We implement industry-standard administrative, technical, and physical safeguards to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit (TLS) and at rest, access controls, and regular security assessments.

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained in accordance with your service agreement. Upon termination, we will delete or anonymize your data within 90 days unless a longer retention period is required by law.

6. HIPAA Considerations

Shield LTC operates as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA) for customers who are Covered Entities. We enter into Business Associate Agreements (BAAs) with applicable customers and handle Protected Health Information (PHI) in accordance with HIPAA requirements. If you believe your PHI has been improperly disclosed, please contact us immediately at support@shieldltc.com.

7. Cookies and Tracking Technologies

We use the following types of cookies:

  • Essential Cookies: Required for the Services to function. These cannot be disabled.
  • Analytics Cookies: Help us understand how users interact with our Services so we can improve them.
